This Privacy Policy explains how Pharma Beat ("we", "us") collects, uses, shares and protects personal and business information when you use pharma.webnixvend.com and its related forms, company panels and services (the "Platform").

It is published under the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011 and the Digital Personal Data Protection Act, 2023, as applicable.

2. Information we collect

a) Information you give us

• Enquiry forms: name, mobile number, email, state / city, business type and your requirement.
• Company registration: company name, contact person, phone, email, address, GST / drug licence details, certifications, logo, product details and login credentials.
• Payments: package chosen, billing name and GST number. Card / UPI details are handled by the payment gateway — we do not store them.
• Communication: messages you send us by email, WhatsApp or phone.

b) Information collected automatically

• IP address, browser and device type, pages visited, referring page and time spent, collected through server logs and cookies.

3. How we use your information

• To pass your enquiry to pharma companies and manufacturers that match your requirement, and to help them contact you.
• To create and manage company profiles, listings, lead credits and packages.
• To verify companies and prevent fraud, spam and misuse.
• To send service messages — enquiry confirmations, lead alerts, package expiry reminders.
• To send occasional updates and offers, which you can opt out of at any time.
• To improve the Platform, understand usage and fix problems.
• To meet legal, tax and accounting obligations.

4. How we share information

We do not sell your personal data. We share it only in these cases:

• With listed companies: when you submit an enquiry, your contact details and requirement are shared with relevant companies so they can respond. This is the core purpose of the Platform.
• Public company profiles: business information a company publishes (name, address, products, contact numbers) is visible to all visitors.
• Service providers: hosting, email / SMS / WhatsApp delivery, payment gateways and analytics providers who process data on our behalf under confidentiality obligations.
• Legal reasons: when required by law, court order or a government authority, or to protect our rights and users' safety.

5. Cookies

We use essential cookies to keep you logged in and protect forms, and analytics cookies to understand how pages are used. You can block or delete cookies in your browser settings; some features, such as login, may not work without them.

6. How long we keep data

• Enquiry data is kept for as long as it is useful for matching and for our records, typically up to 3 years.
• Company account data is kept while the account is active and for a reasonable period afterwards.
• Billing records are kept for the period required under tax laws.

We use reasonable security practices — HTTPS encryption, hashed passwords, access controls for our team and regular backups. No online system is completely secure, so please keep your password private and tell us immediately if you suspect misuse.

8. Your choices and rights

• Access and correction: ask for a copy of your data or correct it. Companies can update most details from their panel.
• Deletion: ask us to delete your account or enquiry data, subject to legal record-keeping needs.
• Withdraw consent: opt out of marketing messages at any time by replying STOP or writing to us.
• Grievance: raise a complaint with our Grievance Officer (below).

9. Calls, SMS and WhatsApp

By submitting an enquiry or registering, you agree to be contacted by us and by matched companies by phone, SMS, WhatsApp and email about your requirement, even if your number is registered on the DND / NCPR list. You can ask any caller, or us, to stop contacting you.

10. Children

The Platform is meant for businesses and adults. We do not knowingly collect data from anyone under 18.

11. Third-party websites

Company microsites, payment gateways, maps and social networks linked from the Platform have their own privacy policies. We are not responsible for how they handle your data.

12. Changes to this policy

We may update this policy from time to time. The latest version is always on this page with its "Last updated" date.

13. Grievance officer and contact

We acknowledge complaints within 24 hours and aim to resolve them within 15 days.
